Job Description

Program/Project Support Coordinator I, Job code: 4299, Global Grade 8 for the College of Arts & Sciences

Nature of Work
The College of Arts & Sciences seeks an enthusiastic, detail-oriented Advising Office Project Coordinator to oversee a broad range of responsibilities for the Office of Academic Advising. This position works primarily with the Dean, the Associate Dean for Undergraduate Studies, and the Director of Advising to support daily operations and special projects in the CAS Advising office. This position reports to the Director of Advising.

Key Responsibilities
  • Greet and provide information and assistance to visitors, faculty and staff entering office suite, creating an inclusive and welcoming environment for all
  • Answer phones for the office and assist callers by answering questions or routing calls as appropriate; provide front desk presence and help coordinate staffing (virtual and/or in-person) for the reception desk in the Office of Academic Advising
  • Assess student needs and schedule appointments accordingly; refer to other offices as appropriate
  • Schedule and organize events, meeting facilities, equipment, and meals as requested
  • Assist in all recruitment related outreach to prospective students and support our Recruitment Coordinators as well as the Associate Dean, Director of Advising, and Academic Advisors in these efforts
  • Assist with planning and implementation of recruitment and retention initiatives as well as advising-related open houses, both online and in person, including helping to transport materials to and from events
  • Work with UM Shared Services to prepare and/or process purchase and supply orders/requisitions, contracts and maintain equipment/supply inventory
  • Support all functions of academic advising while following processes outlined in our Office Procedures Manual
  • Support the Associate Dean for Undergraduate Studies and the Director of Advising as they coordinate Advising Office operations
  • Provide a bridge for smooth communication between the office and other University units
  • Act as a liaison and source of information and support for the staff, faculty, Dean and department Chairs; assist with interpretation of the University and/or College HR policies, practices and procedures related to advising
  • Manage special projects for the Office of Advising
  • Other duties as assigned

Shift

Full time, 40 hours/weekly

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications
  • At least one year of experience in higher-ed setting
  • Experience working with diverse student populations
  • Experience with Microsoft Office applications including Excel
  • Experience with UM system applications including Peoplesoft, SLATE, MyView, DARS
  • Some experience creating and updating promotion and recruitment materials
  • Experience managing social media platforms
Anticipated Hiring Range

Pay commensurate with education and experience.
Hiring Range: $18.50 - $26.34 hourly
