Job Description Summary
The Events Manager will manage events logistics, venues and scheduling, and material/equipment inventory as they relate to recruitment, admitted student, staff engagement, and travel events for the Undergraduate Admissions Office. Keeping directed focus in mind, the Events Manager will also be responsible for the management, creation, and live support of virtual events while assisting with tasks related to larger on campus programming including Admitted Student Programming (live and virtual), events focused on intentional equity and inclusion, and internally sponsored programs including scheduling meetings, managing the check-in process onsite, and ordering and tracking event swag and supplies.

In the spirit of collective care, this position will also be responsible for developing relationships with internal staff/resources as well as external partners (including vendors) to gain efficiencies regarding event planning and execution.

Job Description

Job Responsibilities
  • Events Management: Assist with the setup and breakdown of events. Develop relationships with on-campus vendors (catering, audio-visual, facilities). Create and negotiate contracts with on and off campus vendors. Support Sr. Associate Director and Assistant Director in events related administrative tasks.
  • Venues: Maintain on campus venue information and contacts. Creates working relationships with venue managers. Receive and process event request forms from all teams within the Admissions Office. Follow documented procedures associated with these requests (e.g. via the event management templates).
  • Inventory Management and Research: Maintain event supply inventory and assist in procuring office swag, event supplies, and speaker gifts. Ensure events supplies are returned to inventory after events have concluded. Work with Marketing, Communications and Visit Experience team to ensure brand guidelines for all materials, print, and signage are being met.
  • Virtual/Hybrid: manage, create and execute upon virtual and hybrid events leveraging technology and process standards set by the Admissions office.


Qualifications
  • HS diploma or GED and 5-7 years administrative experience or equivalent combination of education and experience, preferably in the event industry, required.
  • Bachelor's degree preferred.
  • Excellent verbal and written communication skills, organizational skills, ability to manage and prioritize multiple assignments, and ability to work independently.
  • Preferred qualifications include effective event planning practices and experience with staging events in and around the University's campus.
  • Technical qualifications include proficiency in the use of Microsoft Word, Excel, PowerPoint, Slate CRM system (Events Module), SharePoint, and Zoom.
  • Occasional evening and/or weekend work included.

Targeted Pay Range
